Job Description

This is a multi-faceted position encompassing elements of administrative assistant, office receptionist, and credentialing verifications. Prepares, documents, and completes credentialing data processes including applications and verifications for Medical and Allied Health staff. Performs administrative tasks for Medical Staff Office, such as compiling data from office records for periodic reports, preparing documents such as meeting agendas and minutes, maintaining clean and organized Medical Staff Office work environment of M, and distributing information to hospital and medical staff areas. Greets and directs individuals making initial and follow-up contact with the Medical Staff Office through telephonic, electronic, and personal contact.

Responsibilities

Prepares, documents, and completes credentialing data processes (application, verifications, and privilege requests) for Medical and Allied Health staff. Performs primary source verifications Assists other credentialing staff in privileging processes for Medical/Allied Health staff Collates information and prepares credentialing files for review Obtains approval signatures from medical staff Organizes, tracks, and follows up on expireable documents and reports for medical and allied health staff Attends and records minutes for Allied Health and Medical Staff meetings when assigned Assists other credentialing staff. Performs regularly recurring administrative tasks for Medical Staff Office, such as compiling data from office records for periodic reports, preparing documents, filing, and distributing information to hospital and medical staff areas. Receives, opens, sorts and distributes mail Coordinates ordering of office and other supplies. Maintains expense records on various accounts and services Sends invoices and records payment for medical staff dues, application fees, and other medical staff functions Composes and types letters, forms, memos, and reports Expert Word and Excel skills Familiar with Database functions. Customer Service: Greets and direct individuals who call and/or present at Medical Staff Office. Provides information as requested to practitioners offices, hospital departments, Central Verification Office, and other areas as needed. Makes customer service a high priority. Listens to, identifies, and responds quickly and appropriately to customer needs, both internal and external customers Interacts on regular basis with physician leaders, physician office staff, medical staff department staff, hospital managers, hospital staff, and applicants/appointees to Medical /Allied Health Excellent interpersonal interactions demonstrating RITE values Respond in timely manner Execute required actions Identify potential problems. Maintains Medical Staff data files, both electronic and hard copy. Handles confidential materials Maintain storage of files for orderly retrieval. Maintains clean and organized work environment to support effective entry, filing, storage, and retrieval of data and documents. Train volunteer staff Maintain policy and procedure manual for Medical Staff Office Provides administrative and secretarial support to Director and Manager as assigned. Assists director with performance improvement activities, Joint Commission accreditation preparation, and other duties as assigned.

Qualifications

High School Graduate, some college preferred | CPCS (Certified Provider Credentialing Specialist) is a plus but not required | 1-3 Years in a business office. Health care and credentialing experience in hospital, physician office, or managed care preferred.
