Responsibilities
The Executive Office Manager will provide executive assistant level support for the Chief Executive Officer and supervise the support staff in the executive office including coordinating staff duties, establishing office protocols, procedures and performance expectations.
- Organizes and manages the President's office with independent judgment and decision-making skills.
- Develops and implements executive assistant staffing plan to support the UC Health executive team.
- Serves as the CEO's liaison to the Board of Directors.
- Oversees the preparation of Board meetings and logistics including board agenda, board portal management, distribution of meeting materials, and scribes Board minutes.
- Prepares correspondences, reports using Microsoft Excel databases, PowerPoint presentations of briefs, including developing charts/graphs, conduct necessary research on topics with preparation of briefs, screens telephone calls, manages the CEO's calendar, and otherwise supports the efficient operations of the CEO's office.
- Hires, trains, manages and provides professional development for the executive assistants necessary to fulfill the needs of the executive office.
- Formalizes all plans relating to the President's travel arrangement with careful follow-up with national institutional and private organizations.
- Organizes special events, retreats and retirement celebrations for Board Members, Executive Office senior executives, and associates.
- Assists senior executives and associates within the Executive Office and departments system-wide by responding rapidly to requests.
- Coordinates and triages all patient and employee complaints incoming to the President about quality of care, billing services, and employee satisfaction.
- Strives to enhance knowledge of system initiatives on a continuing basis so that efficiency is maintained. Interacts as necessary with local and national leaders to provide optimum networking opportunities for the President's internal and external activities.
- Manages the Executive Office by responding to supply needs, common area equipment failure, and environmental/facility issues.
- Provides organizational support for Executive Office assistants as required.
- Coordinates with the internal communications team, prepares speeches, press releases, announcements, scripts for events, presentations, and other public communications for the CEO.
Qualifications
- Associate's Degree Required.
- Bachelor's Degree Preferred.
- Five to seven years of executive level support experience, specifically working with an executive team in a healthcare or corporate business setting.
- Prior experience working with non-profit Board preferred.
- Familiar with administrative systems and UC Health structure.
- Executive clerical skills required including proficiency in various computer software programs including Microsoft Word, Excel and PowerPoint, numerical aptitude, grammatical and verbal skills, versed in office procedures and protocol, and effective interpersonal skills.
