Manager, Patient Registration and Financial Counseling

Positions Supervised: Registration Specialist, Registration Coordinator, Financial Counselor, Cashier

Position Summary:

This position is responsible for the management of the administrative functions for Neuromodulation Center, Adult and Adolescent Partial Hospitalization Programs (PHP), Intensive Outpatient Program (IOP) and Injection Clinic, working closely with these departments and Revenue Cycle to insure accurate and efficient operation of the patient process from intake to billing. This position is also responsible for the management of the registration process for the Outpatient Practice.

Major Duties and Responsibilities:

Ensures that systems are in place to provide timely and effective administrative functions of: registration, insurance verification, patient check-in and collection of co-pay for the Neuromodulation Center, PHP programs, Intensive Outpatient Program and Outpatient Practice.
Participates in the development and application all Patient Registration and Financial Counseling policies and procedures. Regularly audits and coordinates ongoing monitoring of the accuracy of patient registration and financial counseling activities and data.
Ensures that all Patient Registration and Financial counseling staff follow federal, state and local regulations and confidentiality requirements. Monitors daily work flow and patient activity to insure smooth operation of the department. Understands regulatory standards (JCAHO, ODMH and HIPAA) as they apply to these functions. Keeps abreast of changes and recommends adjustments as appropriate to maintain best practices. Insures that staff follows all standards. Coordinates ongoing training in accordance with JCAHO standards, State and Federal statutes, and Hospital policies.
Ensures that registration patient documentation in the EMR is maintained in accordance with appropriate regulations, HIPAA, Joint Commission by coordinating chart review and audits.
Establishes schedules, task assignments and allocation of personnel, space and equipment to ensure effective customer service. Maintains productivity and activity data for the department.
Participates in the design of EMR screens and processes for areas of responsibility. Develop and test new procedures and EMR processes.
Ensures that registration tasks are completed accurately by providing training to LCOH employees that complete these functions (EMR registration training, Medicare Secondary Payor Questionnaire, Important Message from Medicare, etc.).
Works closely with revenue cycle staff on accuracy and timeliness of information needed for billing. Insure integrity of data in the EMR.
Establishes and monitors measures to improve outcomes and increase customer satisfaction. Maintains and model high customer service and patient relations standards. Handles complex and difficult patient and family issues.
Responsible for recruitment, retention and development of staff.
Develops budgets for Patient Registration department. Routinely monitors budget, analyzes variances and takes appropriate action, and develops plans for productivity improvements. Handles purchasing and budget management for Registration department.
Performs other duties consistent with purpose of job as directed.

Position Qualifications:

Bachelor's Degree in Business or Health Care Administration, CHAM Certification preferred.
Minimum of 3 years supervisory experience of a Patient Registration department or physician practice.
Strong computer skills including Word, Excel and Outlook. Experience with an electronic medical record preferred.
Must possess strong communication skills, strong attention to detail, and strong customer service orientation.
Knowledge of JCAHO, ODMH, and HIPAA regulations preferred.
Ability to enthusiastically follow and model the Lindner Center of HOPE mission, vision and values.
Effective leadership skills and the ability to build a strong departmental team. Function effectively as a team member with other staff members of the Lindner Center of HOPE.

Physical Requirements:

The physical demands of this position are consistent with those performed in a normal office environment, including occasional lifting, carrying, pushing or pulling, and sufficient manual dexterity to operate standard office equipment and ability to use to use a computer.
