Job Description

The Trauma Information Coordinator (TIC) is responsible for registry support of all components of Trauma Registry operations, including data collection, data entry and retrieval, data quality and integrity, analysis, display of data collected for the UCMC Trauma Burn and Acute Care Surgery Programs and the WCH Trauma Program in collaboration with the Trauma Registry Supervisor and Trauma Program Manager. Main responsibilities include database maintenance, exporting data, data validation, data analysis, report building, registrar orientation and ongoing staff education (i.e. software and coding). Represents UC Health Registry when interacting with state, regional and national regulatory agencies. Upholds the mission, vision, values, and customer service standards of The UC Health System.

  • UC Medical Center is the only American College of Surgeons (ACS) verified adult Level I trauma center in the region.


  • UC Medical Center has been continuously verified as a Level I trauma center for over 25 years (since 1997).

Data Dictionary

Review of all regional, state, and national dictionaries for changes and incorporating into UC Health Facility Level Dictionaries.

Follow up with clinical staff on dictionary changes and Epic chart locations for information.

Creating step-by-step instructions with Epic screenshots on where to find data.

Follow up with education on changes with email to address in monthly staff meetings.

Job Function: Reporting/Exporting Data

Analyzes trauma data and creates both routine and ad hoc reports for performance improvement meetings, routine volume reporting, staff education, financial analysis, and other reports as requested.

Creates reports for and participates re-verification surveys for the American College of Surgeons (ACS) the American Burn Association (ABA).

Supports research initiatives by providing data to investigators in compliance with The UC Health System's Institutional Review Board (IRB) and Health Insurance Portability and Accountability Act (HIPAA) regulations. • Send on data research request to leadership for approval.

Maintain all repositories and logs as determined by the Trauma Registry Supervisor and Trauma Program Manager.

Create mechanisms to export registry data for compliance with national (National Trauma Data Bank/Trauma Quality Improvement Program (TQIP)), regional (Tri-State Trauma Coalition and state (State of Ohio Trauma Registry) standards

Job Function: Validation

Maintain quarterly validations on each registrar.

Maintain updating validation forms including report cards.

Maintain validation tracking spreadsheet.

Communicate feedback to registrar on individual validations.

Job Function: Leadership

Keeps current with trends, developments, and practices in the field as they relate to this work assignment. Maintain up to date AIS certification.

Participation in a Trauma Registry Course that meets ACS-COT requirements.

Participate in an ICD-10 refresher course every 5 years.

Maintain 8 hours of Trauma registry continuing education every year.

Maintains ongoing communication regarding the status of the registry with the leadership team.

Incorporates principles of teamwork in the resolution, completion, and follow-up of responsibilities.

Displays sensitivity to and understanding of various cultural, ethnic, racial, and socioeconomic backgrounds.

Act as administrator for University of Cincinnati Medical Center and West Chester Hospital's trauma registry Software. • Maintain collaborative relationship with Trauma Registry vendors to ensure current technology in data collections.

Job Function: Training

Provide ongoing education to the Trauma registrars.

Coordinate and monitor orientation process of new hires when applicable

Qualifications

Minimum Required:
  • Associate's Degree in Associate's Degree
  • RHIT and CSTR preferred
  • Minimum Required: 1 - 2 Years equivalent experience.
