Electroconvulsive Therapy Coordinator, Full-Time, First Shift, Psychiatry

UC Health is hiring a full-time Electroconvulsive Therapy Coordinator for the Psychiatry department for the first shifts at University of Cincinnati Medical Center.

The Electroconvulsive Therapy Coordinator schedules the Electroconvulsive Therapy (ECT), cases for the ECT Suite and Clinic, functioning as liaison, preceptor and resource person for the scheduling office, psychiatrists, anesthesiologists, and staff. Greets patients and families in a caring, kind, and courteous manner meeting anticipating their needs in the waiting room. Assists with patient arrivals and discharges, using wheelchairs when necessary. The position and its functions cover both Inpatient and Outpatient Programs, UCMC Psychiatric Services Department.

Responsibilities

Job Responsibilities
  • Maintains knowledge and expertise of Information System to maximize scheduling accuracy and efficiency.
  • Schedules case in appropriate area utilizing blocks and Psychiatrist average time as indicated.
  • Utilizes computerized system for scheduling procedures for ECT Suite areas.
  • Coordinates multiple appointments, cancellations and reschedules.
  • Coordinates scheduling with the admissions process.
  • Coordinates scheduling with conflict checks to secure appropriate resources.
  • Maintains working knowledge of rules and protocols.
  • Obtains all appropriate information and documents as needed.
  • Answers phone promptly greeting caller professionally.
  • Communicates with physicians, office personnel, peers, and internal departments in a professional and customer-friendly manner.
  • Utilizes conference calls when appropriate to enhance communication and understanding for involved parties.
  • Notifies departments of changes and cancellations electronically...Notifies staff and peers of new information that may affect daily operations of specific departments.
  • Collaborate with various departments/colleagues and outside providers/facilities in regard to ECT referrals, ECT process, ECT guidelines, prior authorizations, Anesthesia consults, and patient challenges in order to develop treatment plans that foster the most effective outcomes for each individual person.
  • Follows departmental standards for use of abbreviations. No abbreviations are to be utilized on ECT Schedule.
  • Patient information is maintained per HIPAA. Schedules cases in accordance with current guidelines to assure accurate site identification.
  • Ensure that the policies and infection control guidelines are adhered to by the staff and keep all updated on any changes.
  • Monitor that the ECT provider credentials and privileges are up to date.

  • Work proactively with the ECT providers and coordinate with multiple departments, providers, families and friends on patient care. For example, contact IR for PAC placement/PICC team for PIV, Mobile care for transportation, Anesthesia for urgent/difficult cases, probate court for documents, Pharmacy for medication availability, family and friends for ensuring transportation and monitoring etc.
  • Ensure consents are active for ROI and procedures, H&P's are current and if not contact the inpatient Provider to complete and for outpatient inform ECT provider to complete the day of treatment.
  • Maintain ECT wait list and assist in ECT Clinic and outpatient treatment program, throughput by scheduling ECT clinic visits and follow -up appointments,
  • Anticipate when an outpatient individual will start and begin the ECT process. Complete a prior authorization, contact the patient, provide pre-procedure education, post procedure restrictions, arrange CPC visit/labs/ECG, send a letter regarding appointment, directions, contact number, and ECT information. Also, include a blank consent to allow the patient the time and opportunity to review the consent in a non-stressful environment and write down any question they may have for the provider. Reconcile all medications and educate the patient on which medication to hold and why. If the PA is not back in a timely manner or is needed urgently obtain reference number and contact the insurance-.
  • Coordinate a seamless flow and transport of ECT patients from CCHMC. Ensure that CCHMC adheres to the stipulations outlined in the MOA between UC Health and CCHMC.
  • Keep record of the PAs expiration dates/treatments and for a new PA to be completed.
  • Verify all documents sent to scanning are scanned into Epic. If not resend to scanning and if the documents are still not in Epic contact Jackie in Medical Records via email.
  • Attend the ECT meeting every Tuesday morning with the providers to discuss the patients and their plan. Then make a note on each patient of the discussion in Epic, while following through on any requests made by the providers or coordinate any changes or information with the referring providers, anesthesia, etc.
  • Keep the contact sheet updated.
  • Review charges in WQ-Trending-ChgReview and resolve/correct, if appropriate.


Qualifications

  • Education:
    • High school diploma or GED, required. Associate/Bachelors degree or college-level coursework in nursing/psychiatry/social work (preferred)
  • License and Certification:
    • Basic Life Support, BLS
  • Years of Experience:
    • Six months to a year experience required. 1 to 2 years preferred.
  • Required Skills and Knowledge:
    • Must have excellent communication skills; sensitivity to the needs of patients/families; Knowledge of behavioral health patients, ECT and medical/surgical terminology. Typing skills, leadership experience preferred.
