Executive Secretary, First Shift, Radiation Oncology Department

UC Health is hiring a full-time Executive Secretary for the radiation oncology department for first shift at University of Cincinnati Medical Center.

The Executive Secretary provides support to the departmental, clinical, research, physician, and executive management teams and performs secretarial duties as required to support operations of the department.

Responsibilities

Job Responsibilities
  • Coordinates Leadership meetings, prepares agenda, may attend meeting and takes minutes
  • Coordinates other meetings as needed, following the specific criteria set by the meeting sponsor and providing the tools identified for the success of the meeting
  • Responsible for coordinating needs for all departmental equipment
  • Responsible for conference room calendars
  • Responsible for maintaining the storeroom with sufficient stock and replenishing as needed. Collects orders from faculty and places orders in a timely manner to maintain stock
  • Develops, provides and maintains all faculty calendars as assigned. Coordinates communication with appropriate clinical staff about calendaring
  • Maintains proficiency in desktop applications (Microsoft Office) to support needs of the organization. Uses independent judgment in creating forms and other useful tools and formats to enhance the end result of the product
  • Responsible for Travel Authorization process - assisting in completion of form, obtaining signatures & processing check requests or credit card payment when needed
  • Assists in toner replacement for printers and copiers - Places calls for copier repairs
  • Prepares drafts memos, letters, and departmental communications
  • Maintains Employee contact information
  • Maintain and update IS&T Organizational Charts
  • Work with managers to get completed forms for new hires and terminated associates
  • Updates IS&T forms- for new hire packets, exit packets, TA packets
  • Responsible for miscellaneous project support on an as needed basis
  • Provides weekly status reports to Business Office Manager
  • Performs other duties as assigned


Qualifications

Education and Experience Requirements:
  • Minimum Required: High School Diploma or GED
  • Preferred: Associate's Degree and/or education in a related field
  • Minimum two years of experience in data base management with proficiency in Excel, Word, and PowerPoint
  • Personal computer proficiency and 2 years word processing experience required
  • Proficiency in MSO software (Excel, Word, PowerPoint) and knowledge of Access
  • Experience with project processes and planning preferred
  • Proven track record of problem solving skills with positive outcomes
  • Excellent communication and customer service skills demonstrated
