UC Health is hiring a full-time Property Manager for the Facilities Management Department

This position reports to the Director of Planning, Design, Construction, and Real Estate and will be primarily responsible to professionally manage 35+ assigned properties ensuring the delivery of a high level of service. Responsibilities include implementing a regularly scheduled program to assess, inspect and evaluate real estate holdings to monitor the efficiency and condition of the buildings; maintaining all real property records through a real estate lease/portfolio database and the corporate legal contract database; developing annual expense management and CAM budgets, participating in corporate real estate planning and review committees, and maintaining real estate utilization and availability database.

Responsibilities

Real Estate Management:
  • Assist with the formation of overall portfolio strategies and creation of financial and performance metrics to define the status of the existing portfolio and the merits of proposed property transactions.
  • Assist in the due diligence/on-boarding of new off-campus property acquisitions to include property inspections, review of due diligence material, communicating with seller's property management, transitioning vendors, and insuring transparent transition for tenants.
  • Develop and manage budgets for property operations, maintenance, and capital improvements; oversee P&L level reporting for monthly expenditures and variances.
  • Monitor expenses, identify cost-savings opportunities, and negotiate contracts with vendors.
  • Maintain real estate utilization and availability database through regular communication with key stakeholders including Ambulatory and UCPC leadership.
  • Serve as key member in various committees such as space planning and real estate planning/review.
  • Develop and maintain key internal stakeholder relationships with leadership, ambulatory, accounting, finance, legal, marketing, and facilities departments.
  • Collaborate with clinical units to understand their specific needs and address property management services accordingly.
  • Serve on other UC Health Committees at the discretion of the Director, PD&C/Real Estate.

Property/Facility Operations:
  • Maintain tenant and vendor certificates of insurance, tenant emergency notification information, building life safety security procedures, as-built drawings, building certificates of occupancy, warranty manuals and others records required for the proper administration of all assigned properties.
  • Serve as primary point of contact for tenants and address requests and concerns in a timely and professional manner. Generate work orders to vendors or maintenance personnel; follow-up with tenants to ensure satisfactory issue resolution.
  • Promptly respond to maintenance requests and emergencies to prevent downtime and disruptions to clinical unit services.
  • Conduct regular inspections of properties to ensure optimum performance, safety, functionality, and compliance with government policies and regulations.
  • Manage emergency preparedness initiatives by maintaining annual fire drill compliance throughout all medical office buildings.
  • In conjunction with PO&M team, coordinate and oversee all aspects of facility maintenance including repairs and renovations; effectively communicate project details to tenants to ensure successful completion.
  • Oversee Environmental Services to ensure medical office buildings meet the highest standards of cleanliness and infection control guidelines. Monitor Smart Inspect reports from EVS Manager and follow up on outstanding items as necessary.
  • Plan, budget, and schedule small facility upgrade projects including items such as paint, carpet, furniture, and equipment.
  • In conjunction with leadership plan, coordinate, and execute internal moves.
  • Manage vendors and service contracts necessary to maintain portfolio.
  • Project management for assigned geographic region of portfolio.

Administrative Duties:
  • Manage and maintain real estate and lease databases (currently Lease Query and Excel)
  • Manage vendor contract workflow through legal contract system (Icertis). Monitor contract expirations and proactively contact existing vendors for renewals.
  • Maintain and report monthly variances and narratives. Initiate and track purchase orders and approve invoices for payment.
  • In conjunction with rest of Ambulatory Facilities' Management Team, maintain Life Safety and Environment of Care processes, documentation, and issue resolution.
  • Personnel management for Ambulatory Property Management/Facilities staff in partnership with Division Director.
  • Other duties as assigned.


Qualifications

  • Minimum Required: Bachelor's Degree Business Administration, Real Estate, or related degree.
  • Preferred: Master's Degree. | Commercial property management professional designation (e.g., Real Property Administrator, CCIM, or other related designation) preferred. |
  • Minimum Required: 3 - 5 Years equivalent experience.
  • Preferred: 6 - 10 Years equivalent experience.
