Job Description

The Research Billing Analyst will coordinate and monitor research billing activities and practices for all UC Health and UC clinical research entities. The Research Billing Analyst will also be responsible for building research support tools within the Electronic Medical Record (EMR) and other applications. The Research Billing Analyst will also comply with institutional research and billing policies, procedures, and guidelines, as well as governmental regulations regarding responsible conduct of research, research ethics and integrity, and protection of the safety and welfare of human subjects (including DHHS, FDA, and IRB regulations, HIPAA privacy, etc.

Responsibilities

The Research Billing Analyst role is responsible for ensuring proper billing practices for clinical research activities at UC Health. UC Health provides services and facilities to support clinical research.

Job Duties
  • Build research billing schedules/billing encounters within the Electronic Medical Record (Epic) to facilitate research encounter forms related to daily encounters with study teams.
  • Demonstrate expertise in standard of care encounters versus research encounters.
  • Utilize Coverage Analysis determinations to generate encounter documentation and billing calendars used in the conduct of clinical research.
  • Assist research team members in setting up and maintaining appropriate billing and tracking processes for research related charges in the appropriate software programs (Epic, CTMS)
  • Assist hospital and professional billing teams in research charge review activities.
  • Participate in the review of clinical research study documentation to ensure proper billing setup prior to the initiation of research within the hospital.
  • Assist in process improvement initiatives related to research billing.
  • Contribute to the development of educational resources and conduct training seminars about research billing practices.
  • Contribute to the development of standard operating procedures for research billing.
  • Establish and maintain an exceptional professional working relationship with the Clinical Research Coordinators and staff, Principal Investigators, Patient Financial Services, Compliance and Internal Audit Department, other research and clinical care staff, and external parties involved with the process to ensure accurate documentation, coding, charging, and billing for all services provided related to research or clinical trial billing.
  • Comply with institutional research and billing policies, procedures, and guidelines, as well as governmental regulations regarding responsible conduct of research, research ethics and integrity, and protection of the safety and welfare of human subjects (including DHHS, FDA, and IRB regulations, HIPAA privacy, etc.
  • Assist with research billing compliance investigations, risk assessment, and mitigation as necessary.
  • Continuously monitors federal and research-oriented agencies/organizations to stay current on new rules, regulations and revisions and educates other research staff with the changes concerning research billing compliance / Maintains established policies and procedures and quality assessment. Maintains subject-matter expertise and enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.


Qualifications

Required Qualifications
  • Bachelor's Degree in related field
  • 2 years of recent experience in Epic research billing
  • Minimum of 2 years of experience within a clinical research environment related to billing and coding.
  • Experience working with an Electronic Medical Records system.
  • Advanced proficiency in Microsoft Office products

Preferred Qualifications
  • Experience with the Epic Research Module
  • Experience working within a Clinical Trials Management System (CTMS)
  • Epic Research Module Certification

Licenses and Certification Requirements
  • Epic Research Module Certification - must be obtained within 6-9 months of hire date
