Executive Secretary, Radiation Oncology, First Shift

Provide support to departmental Executive Director and the Research Faculty. Will work on concur expenses, papers that need to be completed, scheduling appointments, working with patients that have questions that are sent to physician, EPIC scheduling, ARIA software scheduling, ordering meeting lunches, UC and UCP information changes and updates and other needs of the faculty and staff.

The Executive Secretary will provide support faculty members and the executive director. Perform secretarial duties as required to support operations of the department.
  • Coordinates Leadership meetings, prepares agenda, attends meeting and takes minutes.
  • Coordinates other meetings as needed, following the specific criteria set by the meeting sponsor and providing the tools identified for the success of the meeting.
  • Responsible for coordinating needs for all departmental equipment.
  • Maintains proficiency in desktop applications (Microsoft Office) to support needs of the organization. Uses independent judgment in creating forms and other useful tools and formats to enhance the end result of the product.
  • Responsible for Travel Authorization process - assisting in completion of form, obtaining signatures & processing check requests or credit card payment when needed.
  • Assists in toner replacement for printers and copiers - Places calls for copier repairs.
  • Prepares drafts memos, letters, and departmental communications.
  • Maintains Employee contact information.
  • Work with managers to get completed forms for new hires and terminated associates.
  • Responsible for miscellaneous project support on an as needed basis.
  • Provides weekly status reports to Business Office Manager.


Qualifications

Education and Experience Requirements:

  • High school diploma or GED, Associates Degree preferred.
  • 2-3 years related work experience.
  • Personal computer proficiency and 2 years word processing experience required.
  • Proficiency in MSO software (Excel, Word, PowerPoint) and knowledge of Access.
  • Experience with project processes and planning preferred.
  • Proven track record of problem solving skills with positive outcomes.
  • Excellent communication and customer service skills demonstrated.
