This position reports to the Division Director Ambulatory Facilities & Real Estate and will be primarily responsible to professionally manage assigned properties ensuring the delivery of a high level of service.

Responsibilities include: processing lease documents, monitoring financial transactions related to leaseholds, coordinating responsible parties including liaison for legal and accounting teams, auditing leases for critical dates, performing CAM and rent reconciliation statements, preparing operating budgets, engaging all parties involved in lease transactions including brokers/tenants/landlords/managers, generating notices related to lease terms, assisting in debt collection, preparing and abstracting leases, managing fair market opinions, identifying regulated sites, informing risk and insurance departments of acquisitions and divestitures, supporting Property/Maintenance/EVS Managers, participating in strategic growth initiatives and master planning, maintaining electronic directories and supporting internal/external stakeholders.

Responsibilities

Job Function: Real Estate Management
  • 60% Assist with the formation of overall portfolio strategies and creation of financial and performance metrics to define the status of the existing portfolio and the merits of proposed property transactions.
  • Assist in the due diligence/onboarding of new off-campus property acquisitions to include property inspections, review of due diligence material, communicating with seller 's property management, transitioning vendors, and insuring transparent transition for tenants.
  • Develop and implement aggressive annual expense management and service contracting practices that drive budgeted operating expense budgets and CAM budgets.
  • Maintain real estate utilization and availability database through regular communication with key stakeholders including Ambulatory and UCPC leadership.
  • Participate in various committees such as space planning and real estate planning/review.
  • Develop and maintain key internal stakeholder relationships with leadership, ambulatory, accounting, finance, legal, marketing, and facilities departments.
  • Serve on other UC Health Committees at the discretion of the Division Director, Real Estate.

Job Function: Property/Facility Operations
  • 30% Maintain tenant and vendor certificates of insurance, tenant emergency notification information, building life safety security procedures, as-built drawings, building certificates of occupancy, warranty manuals, and other records required for the proper administration of all assigned properties.
  • Provide excellent, responsive service to tenant requests/problems; generate work orders to vendors or maintenance staff; follow-up with tenants to ensure satisfactory issue resolution.
  • Conduct regular inspections of properties to ensure optimum performance, safety, functionality, and compliance with government policies and regulations.
  • Plan, budget, and schedule small facility upgrade projects including items such as paint, carpet, furniture, and equipment. In conjunction with leadership plan, coordinate, and execute internal moves.
  • Manage vendors and service contracts necessary to maintain portfolio.
  • Project management for assigned geographic region of portfolio.

Job Function: Administrative Duties
  • 10% Develop and provide an annual UC Health Real Estate Report, as well as other management information as needed.
  • Update Master Lease as required to keep current with market conditions.
  • Manage and maintain real estate and lease databases (currently Lease Query and Excel) Manage real estate/lease document workflow through legal contract system (CWMS) Monitor lease expirations and proactively contact existing tenants for renewals.
  • Maintain and report quarterly variances and narratives.
  • Initiate and track purchase orders and approve invoices for payment.
  • In conjunction with rest of Ambulatory Facilities
  • Management Team, maintain Life Safety and Environment of Care processes, documentation, and issue resolution.
  • Personnel management for Ambulatory Property Management/Facilities staff in partnership with Division Director.
  • Other duties as assigned.


Qualifications

  • Minimum Required : Bachelor's Degree Business Administration, Real Estate, or related degree.
  • Master's Degree Preferred.
  • Commercial property management professional designation (e.g., Real Property Administrator, CCIM, or other related designation) preferred.
  • Minimum Required: 3 to 5 years equivalent of experience.
  • Preferred: 6 to 10 years of equivalent experience.
