Coordinate the residency program in conjunction with residency director; maintain compliance with all ACGME accredited Residency Program regulations and providing full support to the Graduate Medical Education (GME) Program Manager.

Responsibilities

The Program Coordinator is responsible for supporting the Graduate Medical Education (GME) Program Manager in various functions related to residency and fellowship programs within the Department of Surgery.

Recruitment:

The Program Coordinator's key responsibilities include assisting with the maintenance and processing of residency applications and rosters, providing essential data to faculty interviewers, and scheduling and preparing materials for the final rank meeting.

Orientation/Graduation:

The Program Coordinator maintains and facilitates all necessary HR documentation for matched interns, working closely with the GME office. They also oversee the processing of paperwork for graduating residents. The Coordinator collaborates with the GME Program Manager on the orientation schedule and helps organize the Farewell to Chiefs Dinner and Final Grand Rounds Ceremony.

Licensing, Credentialing, and Orientation:
The Program Coordinator is responsible for processing essential documents for new residents, including licensing, credentialing, badges, keys, pagers, and EPIC access. Additionally, the Coordinator handles credentialing for all resident rotation sites, such as CCHMC, Holzer Clinic, TCH, VAMC, and WCH.

Resident Schedules and File Maintenance:
This role includes maintaining and organizing resident-related schedules (such as call, block, and rotation schedules) in QGenda and MedHub systems. The Program Coordinator is also responsible for maintaining resident files, sending evaluations, and updating rotation histories. They address workflow cutoff notifications, scheduling errors, and notify residents of any missing work hours. The Coordinator supports education-related projects like managing resident mailboxes, tracking attendance, and filing.

Compliance and Accreditation:
The Program Coordinator ensures that the program adheres to ACGME and American Board of Surgery guidelines for accreditation. This includes keeping resident files and related schedules up-to-date for accreditation purposes.

Meeting Support and Coordination:
The Program Coordinator attends monthly Program Coordinator meetings organized by the GME office, the Department of Surgery Admin Coordinators Meeting, and bi-monthly Program Director and Program Coordinator meetings. Additionally, they are responsible for scheduling and taking minutes at resident class and representative meetings, CCC, PEC, and PD/PC meetings, and maintaining and distributing weekly memos to the Department of Surgery.

Event Support:
The Program Coordinator assists the GME Program Manager with various events for the Department of Surgery and Surgery Residents, including the Farewell to Chiefs Dinner, Annual Faculty vs. Residents Softball Game and Family Picnic, Resident Research Competition and Retreat, Final Grand Rounds Ceremony, Robotics Week, and Thank a Resident Week. They also coordinate the Citywide Mock Oral Boards.

Conference Support and CME:
The Program Coordinator organizes and provides data for the Morbidity and Mortality Conference. They track conference attendance and Grand Rounds evaluations for CME credit and assist with the setup and tear-down for weekly conferences.

Administrative and Financial Duties:
The Program Coordinator maintains the monthly dashboard, handles resident reimbursements for PDA/Travel using OneTouch and Concur systems, and orders lab supplies, instruments, business cards, clocks for graduating chief residents, and recruitment and orientation materials. They process leave of absence forms and orders for lab coats, FES and FLS vouchers, and ATLS registration. The Coordinator will also serve as a proctor for ABSITE, FES, and FLS exams.

Global Surgery Support:
The Program Coordinator works with the Research Chair to facilitate the Mzuzu, Africa rotation, submits reimbursements for Global faculty, and assists residents with Medical Council of Malawi paperwork. They are also responsible for securing the necessary approvals from ACGME, GME, and ABS for global surgery rotations.

Minimum Required: High School Diploma or GED required. Associate's Degree preferred. | LICENSE & CERTIFICATION: N/A. | Minimum Required: A minimum of three years administrative experience preferred.
